These terms apply to Arcareon Oy's rental services. Product information and the booking confirmation supplement them. Each booking is governed by the terms accepted for that booking.
1. Parties and binding bookings
The lessor is Arcareon Oy (Business ID 3574408-5), and the renter is the customer making the booking. These terms govern rental agreements between these parties. The agreement becomes binding once Arcareon has confirmed the booking and the customer has paid the rental fee. The renter must be at least 18 years old and show a valid official identity document at pickup or delivery.
2. Payment and security deposit
The rental fee is paid in full in advance using the payment methods offered. Listed prices include VAT unless stated otherwise alongside the price. Arcareon may require a security deposit depending on the equipment. The deposit is returned within 3–5 business days of return and inspection, provided the equipment has been returned in the agreed condition.
3. Cancellations and refunds
If a booking is cancelled more than 48 hours before the rental starts, the rental price is refunded in full as money. Cancellation 24–48 hours before the start results in a 50% refund of the rental price. No rental-price refund is provided for cancellation less than 24 hours before the start. A separately ordered service, such as transport, is not refunded once that service has been performed. Statutory consumer rights are addressed in section 12.
4. Inspection on receipt
The renter must check the equipment and its included accessories immediately on receipt. Damage, missing parts and malfunctions must be reported to Arcareon promptly before use. If no issues are reported, the equipment is presumed to have been handed over in the stated working condition. This does not remove a consumer's statutory rights concerning a defect discovered later.
5. Extensions and late returns
An extension may be requested at least 24 hours before the agreed end of the rental. Extensions depend on availability and are charged at the standard rate. If the equipment is returned late without at least 24 hours' advance notice, the late fee is 10% of its daily rental rate for each started hour of delay. A fee applied to a consumer must not be unfair.
6. Liability and optional Full Protection
The renter is fully responsible for damage, loss or theft of the equipment, up to the purchase price of a new equivalent item and subject to mandatory law. The renter may select the Full Protection damage waiver for an additional 20% of the total rental price. It removes financial liability for covered accidental damage, with a €0 deductible. Protection excludes loss, theft, gross negligence, deliberate misuse and leaving the equipment unattended in an unsecured place.
7. Consumables and included accessories
Equipment may involve separately charged consumables such as detergent, sandpaper or fuel. These are charged according to actual use. Unopened consumables may be returned for a refund. All included accessories, such as cables, instructions and cases, must be returned with the equipment. Missing accessories are charged at their full replacement cost, subject to mandatory law.
8. Use, care and cleaning
Equipment must be used only for its intended purpose and in accordance with the instructions provided. Subletting it to another person or business is prohibited. It must be returned as clean as it was when handed over. If professional cleaning is required after return, the cleaning fee is charged according to the price list.
9. Installation assistance and equipment swaps
Requested installation assistance, for example with a roof box or tent, is charged at a separately agreed service fee. Subject to availability, the rented item may be swapped or upgraded during the rental by paying any difference in the rental price. Switching to a less expensive item does not entitle the renter to a refund of the difference.
10. Technical faults and the lessor's liability
If equipment develops a technical fault not caused by the renter, the lessor's contractual liability is limited to refunding the rental price for the period when the equipment could not be used. Arcareon does not contractually compensate indirect losses such as interrupted work, a cancelled event or third-party costs. These limitations apply only to the extent permitted by mandatory law.
11. Termination following a breach
Arcareon may terminate the rental agreement and require immediate return without refund if the renter breaches these terms or there is reasonable cause to believe the equipment is at risk of damage or theft. For consumers, termination and withholding a refund apply only within the limits permitted by mandatory law.
12. Finnish law and consumer rights
Finnish law applies. These terms do not limit mandatory consumer rights, including any applicable statutory right of withdrawal for distance contracts or rights concerning defects. A statutory right takes precedence over a conflicting contractual term. Cancellation and late fees must comply with the law and be reasonable. Disputes should first be discussed with Arcareon. Consumers may seek assistance from KKV's Consumer Advisory Services and refer a dispute to the Consumer Disputes Board.
